Summary

Transactive memory systems (TMS) are collective cognitive structures through which teams encode, store and retrieve knowledge by distributing expertise across members. Rather than each individual holding all relevant information, a TMS enables a shared understanding of “who knows what”, facilitating efficient task allocation and coordination. Core dimensions of a TMS include specialisation (the degree to which knowledge is differentiated among members), credibility (trust in the accuracy of each member’s expertise) and coordination (the capacity to integrate and apply distributed knowledge). The development of a robust TMS is influenced by antecedents such as trust, communication frequency and interpersonal network ties. In practice, well-functioning TMSs enhance decision-making, foster innovation and underpin seamless implicit coordination, where team members anticipate each other’s needs without explicit instruction. Applications span healthcare, emergency response, research and development, and digital collaboration, offering a blueprint for designing training interventions, knowledge-management tools and organisational structures that leverage collective expertise.
